Responsibilities:
- Manage the front desk operations and ensure smooth daily operations
- Greet and assist visitors, clients, and employees in a professional and friendly manner
- Answer phone calls, take messages, and transfer calls to appropriate individuals
- Handle incoming and outgoing mail and packages
- Maintain a clean and organized front desk area
- Perform administrative tasks such as data entry, filing, and document management
- Schedule appointments and manage calendars
- Assist with ordering office supplies and maintaining inventory
- Provide customer support and address inquiries or concerns promptly
- Coordinate meetings, conferences, and travel arrangements as needed
Qualifications:
- Previous experience as a Front Desk Manager or in a similar role preferred
- Proficient in computerized systems such as entry software
- Strong typing skills with accuracy and attention to detail
- Familiarity with phone systems and ability to handle multiple lines
- Knowledge of medical office procedures is a plus
- Excellent customer service skills with the ability to handle difficult situations professionally
- Strong organizational and time management skills
- Ability to multitask and prioritize tasks effectively
- Proficient in proofreading documents for accuracy
